Data Deletion
How to request deletion of a gym account, personal information or WhatsApp/Meta data. Disconnecting a service, deactivating a login and permanently erasing data have different effects.

Delete a gym account (owners)
Deleting a gym affects its members, leads, team access, business records and uploads across all branches.
- Before requesting deletion, download any available member or report exports you need. These exports do not contain every record in your account.
- Open the subscription page, cancel any AutoPay mandate and resolve pending charges. An active or unresolved AutoPay setup can prevent a gym deletion request. Stopping use alone does not cancel a recurring mandate.
- Sign in as the gym owner, open Settings → Delete gym, select Request deletion and complete the password confirmation.
- Once the request succeeds, normal access to the gym is restricted immediately. Owner requests normally have seven days for recovery; an administrator-arranged request can allow three to seven days.
- Check the exact recovery deadline on the account-deactivated page, shown in Indian Standard Time. To recover the gym before that deadline, sign in as the owner and choose Cancel deletion request. Contact support if no deadline appears or recovery is unavailable.
- After the deadline expires, recovery is no longer available and permanent cleanup of gym records and uploads begins automatically. Cleanup can take time to finish across services; contact support to check completion.
Gym deletion does not automatically refund subscriptions or credit purchases. It also does not erase records independently held by your payment or messaging provider, or copies previously downloaded or shared by your gym. Some records may need to be retained as explained below.
Staff and trainer accounts
In Settings → Delete account, you can request deactivation of your own gym access after confirming your password. This does not delete the gym or its member, payment or audit history. Where offered, the account-deactivated page lets you cancel your personal request. Contact support if you also want permanent deletion of personal account information, or have access to more than one gym; removing access to one gym does not necessarily remove a shared login from others.
Disconnect your own WhatsApp Business number
- Sign in as the owner and open the WhatsApp page (also linked from Settings → Connections).
- Use Disconnect in the connected-account controls. A successful disconnect clears the stored connection details and access token so MyFitDesk can no longer send using that connection. We also attempt to remove the connection with Meta.
- You can revoke MyFitDesk's access in Meta Business Settings as well. Review connected apps or partners for your WhatsApp account.
- Disable unwanted automations and cancel pending campaigns separately. MyFitDesk-managed messaging can remain available after your own number is disconnected.
Disconnecting does not erase historical message or credit records. To request deletion of those records or replies stored in the MyFitDesk-managed inbox, contact support using the instructions below. Meta controls any copies retained within its own services.
Members, leads and archived records
Ask your gym about correcting or permanently erasing your member or lead information, including photos, identity documents and communication records. Archiving a member in MyFitDesk preserves their history and uploads for restoration; it is not permanent deletion. The gym can contact support for an erasure request that cannot be completed using the available controls.
If you cannot reach your gym, email support@myfitdesk.app with your name, contact number or email and gym name. We will help identify the responsible gym and handle or route the request as appropriate. A parent or guardian may make a request concerning a child's information.
Request deletion or help by email
Email support@myfitdesk.app with the subject “Delete my data”. Where possible, use your account's contact email. If you use a phone-based login or cannot access that email, tell us so we can arrange verification.
- Include your name, gym name, contact email or phone number and whether you are an owner, team member, member, lead or parent/guardian.
- Explain the scope: an entire gym, your personal account, a member or lead record, a WhatsApp connection, or messages sent to the MyFitDesk number.
- Do not send your password, sign-in codes, full card or bank credentials, or identity documents unless we explain why a specific verification step is needed.
We may need to verify identity, authority and the relevant gym before acting. We aim to respond and resolve verified requests within 30 days, subject to applicable legal deadlines, the gym's involvement and any information needed to complete the request. We will explain if more time is needed or some records cannot be erased. This email-request target is separate from an in-app gym recovery deadline.
Information that may remain
Applicable tax, accounting, legal, security or dispute obligations can require retention of some records. Backup copies and provider-held information may remain until their applicable retention periods expire. Removing gym access or disconnecting an integration does not immediately erase every copy. Contact us for the scope and status of your request, including any information that remains and why.
